Job Posting: Director of Operations

The Director of Operations is responsible for the overall operations of the office including accounting and finance functions, management of internal procedures and systems, and coordination of human resource activities. This role will help to strengthen and maintain the infrastructure that allows the staff and Board to implement the Arts Alliance's strategic initiatives throughout the State.

Founded in 1982, Arts Alliance Illinois is the statewide arts advocacy and service organization promoting the value of the arts to all residents of Illinois. Through research, capacity building, and communication, the Arts Alliance advances widespread support for the arts and arts education, enhances the health of the cultural sector, and fosters a climate in which the broadest spectrum of artistic expression can flourish.

Key Responsibilities and Goals
The Director of Operations will fulfill the following duties and responsibilities:
* Implement financial and accounting systems, processes, tools and controls that enhance the overall efficiency of the organization. Assist staff in developing annual budget, periodic forecasts, and tracking specific program and grant budgets. Support outside accounting and audit consultants.
* Perform monthly bank reconciliations and journal entries. Prepare monthly financial statements and variance analysis for management and Board. Provide financial analysis and support for staff and the Finance & Audit Committee.
* Maintain information technology and provide staff training. Establish policies and procedures to ensure accuracy, reliability and usability of Arts Alliance database.
* Administer policies, procedures and programs related to human resources and employee benefits including payroll, insurance, and pension programs. Maintain personnel records. Manage recruitment, scheduling and onboarding of interns and other part-time volunteer staff.
* Maintain relationship with banking, insurance and benefit contacts.
* Remain up to date on state and federal law regarding nonprofit operations.
* Administer purchasing procedures for organization and relationship with outside vendors
* Maintain organization's assets including computer network, hardware and software, equipment and furnishings. Make recommendations for asset improvements and replacements.
* Provide analysis and support as needed for the Arts Alliance's events, including but not limited to, the annual gala, annual meeting, and the biennial conference.
* Assist the Board of Directors and Executive Director as necessary in support of the Arts Alliance's mission.
* Maintain oversight of organizational record keeping. Serve as note taker for Board and Executive Committee meetings.
* Maintain calendar of organizational activities, book meetings, and assist as needed with event announcements and RSVPs.
* Perform other related duties as assigned. 
 * A minimum of five years of operations/financial management experience, preferably in a nonprofit organization
* Ability to see the big picture while maintaining attention to detail
* Proven success in project management and multi-tasking with strong collaboration skills
* Demonstrated leadership ability, team management and interpersonal skills
* Proactive approach to problem solving
* Excellent written and oral communication skills
* Technologically savvy, strong knowledge of spreadsheet, accounting, and database systems. Familiarity with Excel Fund EZ, eTapestry, Paychex and other financial software tools a plus.

This is a full time position. Salary is commensurate with experience. Benefits include:
